How I Run a High-Touch Systems Membership Without Live Calls or Slack Threads

I love knowing how other business owners actually run things behind the scenes. Not the polished, “look at my perfect dashboard” version… but the real-life, “here’s how I keep things running without losing my mind” setup.
So in this post, I’m giving you a peek behind the scenes of The Systems Pharmacy—my ADHD-friendly membership that helps online business owners fix the backend of their business with personalized, consistent systems support (without adding another group call or content library to their plate).

What Is The Systems Pharmacy?
The Systems Pharmacy is a monthly implementation membership for online business owners who want focused, one-on-one systems support—without joining another high-pressure group program or buying a giant course they’ll never finish.
Members get a streamlined, asynchronous feedback loop where they can submit questions, screen recordings, or stuck points each week—and receive custom video responses from me with strategy, tutorials, and next steps.
It’s high-touch, low-overhead, and built to support the way real ADHD brains work.
And all reviews are done by me. No AI bots. No outsourced coaches. When you submit a video, you’re getting my eyes and strategy on your exact setup.
Now let’s dive into how it actually runs behind the scenes.
Step 1: It Starts with an AirTable + ThriveCart Automation
As soon as someone joins The Systems Pharmacy through my ThriveCart checkout, a Zapier automation kicks in.
That Zap pulls their name from the checkout form and adds them to my AirTable database, a custom-built system that powers everything in the membership.
That Airtable record becomes their personal dashboard. It’s where I track submissions, send video responses, and manage their member journey from day one.
But that’s just the beginning.
Every new member fills out a detailed onboarding and intake form so I can understand their business model, goals, systems struggles, and capacity. That intake form is automatically attached to their Airtable record, so I can easily reference it anytime I review their submissions or plan their next steps.
And yes—there is one live call.
A 60-minute 1:1 strategy session where we map out your first few months inside the membership.
(Okay fine, we break the async rule just this once. But, it’s worth it. You’ll leave knowing exactly what to work on and what to submit first.)
I treat this onboarding process the same way I do with my high-touch, done-for-you clients. Because the more I know about your business upfront, the more personalized and effective my weekly feedback can be.
Step 2: It’s 95% Asynchronous Support (on Purpose)
Once they’re in, the flow is simple:
Every week, members can submit one video (under 10 minutes) using a short Airtable form. They walk me through what they’re stuck on. Whether that’s a broken funnel, confusing tech, or a system that just isn’t flowing.
The form includes a dropdown list of current members (since this is a small, intimate group), so they simply select their name, paste their video link, and add context if needed.
That submission is automatically linked to their member record. So over time, I can easily see every submission and response, all in one place.
🗓 Submissions are due Wednesdays by 11:59pm ET.
📬 Reminder emails go out on Mondays and Wednesdays. Because ADHD brains thrive with structure and a gentle deadline nudge.
Step 3: Thursday = Review + Response Day
Every Thursday, I sit down and review all the member submissions.
For each one, I record a custom Loom video response—walking through what’s happening, what’s not working, and exactly what to do next.
If it’s a more involved fix, I’ll also include a Google Doc with:
✅ step-by-step instructions
✅ relevant tech tutorials
✅ bonus resources they can reference later
Once I mark the submission as “review complete,” an automation sends their response straight to their inbox.
Step 4: Each Member Gets a Private Dashboard
Every member has access to their own private Airtable view that shows:
- all their video submissions
- my responses
- any Google Docs or notes I’ve shared
So they always know where we left off.
No more digging through emails or wondering, “What did Angela say about that automation again?”
It’s all there. Organized, accessible, and totally searchable.
Step 5: What About the Other 5%?
While most of the support is async, I know sometimes you just want real-time energy, body doubling, or a quick answer that doesn’t need a full screen share.
That’s why The Systems Pharmacy also includes:
- bi-weekly co-working sessions (quiet implementation time)
- monthly Office Hours (live Q&A style)
- a private Q&A thread for those quick, random questions you have throughout the week that don’t require a screen share
These touchpoints round out the experience so members feel supported every week, whether they submit a video or not.
