Today I want to share a few random but powerful client experience tips that I’ve been using in my own business (and for my clients). None of them require fancy tools or long tutorials. They’re just small, strategic tweaks that save time, prevent awkward moments, and make your backend feel lighter.

1. Update (or Automate) Your Website Copyright Year
Sounds silly, right? But hear me out.
If a warm lead lands on your website and sees a copyright footer stuck on 2021, their first thought is: “Is this person even still in business?”
That single detail can quietly erode trust.
Here’s what to do instead:
- Set a recurring reminder in your project management tool to update your copyright year every January.
- Or better yet, add a snippet of code (available for platforms like Squarespace or Showit) so it updates automatically.
It’s tiny, it’s simple, and it’s one more way to reassure potential clients that your business is current, reliable, and alive.
2. Create Automatic Calendar Buffers
This one came straight out of mom-life necessity.
My son has a pacemaker, which means multiple specialist appointments every year. Each trip is a 30–45 minute drive, plus unpredictable doctor delays. The problem? Clients and leads could still book calls right before or after those appointments—leaving me stressed, rescheduling, or hopping on Zoom from the car.
Not great.
The fix:
- I created a Zapier automation that recognizes keywords in my Google Calendar (like the doctors’ names).
- Every time an appointment is added, Zapier automatically blocks one hour before and one hour after the event.
No more scrambling. No more apologetic reschedules. Just a cleaner, calmer calendar that respects real life and keeps clients from falling through the cracks.
3. Simplify Your Client Portal with Pretty Links
I’ve tested all the fancy client portal platforms. The truth? They’re expensive, clunky, and usually add friction.
Instead, I use a simple Google Doc template for each client. Inside are all the links, notes, and updates we both need. Then I create a Pretty Link on my domain that redirects to their unique Google Doc.
Example:
thesystemsrx.com/angela→ my personal client portal doc
Clients don’t have to bookmark a messy Google Drive link. They just type in your business domain + their name. Easy, professional, unforgettable.
Pro tip: you can also use Pretty Links for:
- Standing Zoom rooms (
/clientcall) - Coffee chat links (
/coffeechats) - Referral program docs (
/referrals)
This single trick saves endless back-and-forth messages like “Where’s that link again?”
